Privacy Policy

Leaders Book ("the app") is built and operated by Jim Does It ("we", "us"). This policy explains what the app stores, where it goes, and the control you keep over it. The short version: your unit's data belongs to your unit, we do not sell it, and we do not use it for advertising.
What the app stores
- Account data: the email address and display name you sign up with, plus a password handled by Firebase Authentication. We never see or store your password in readable form.
- Organization data you enter: unit structure, Soldier profiles (name, rank, duty position, contact details, readiness data such as fitness scores, weapons qualifications, medical readiness dates, schools, badges, assigned equipment serial numbers, notes), trackers, calendar items, check-in responses, and feed posts.
- Optional leadership-only fields: birthday, home address, and the last four digits of a DoD ID number may be stored if a leader enters them. They are visible only to accounts with a leadership role in that organization.
- Preferences: your layout choices (card order, pinned items, collapsed sections) are stored with your account so the app looks the same on any device you sign into.
- Photos: profile photos and unit logos you choose to upload are stored as part of the organization's records.
What the app forbids
Do not enter full Social Security Numbers, full DoD ID numbers, or classified or Controlled Unclassified Information anywhere in the app. You agree to this at signup. Leaders Book is not a secure or encrypted communications channel and must not be used for sensitive or operational traffic.
Where data lives
Data is stored in Google Firebase (Cloud Firestore and Firebase Authentication) in a project dedicated to Leaders Book. Data in transit is protected with HTTPS/TLS. When you use offline field mode, a copy of your organization's data is cached on your device and syncs back when you reconnect.
Who can see what
- Members see the roster, feed, and calendar of their organization.
- Leaders and owners additionally see administrative and readiness data.
- Profiles opened from feed avatars show a basic public card only.
- Nobody outside your organization can see your organization's data. Access is enforced by server-side security rules.
What we do NOT do
- We do not sell your data.
- We do not run ads and do not share data with advertisers or data brokers.
- We do not track you across other apps or websites. The app requests no tracking permission because there is none.
Analytics and diagnostics
The app uses Firebase Remote Config to deliver configuration and announcements. Our website uses Google Analytics with anonymized measurement to count visits. Bug reports you submit through the in-app form are sent to us with the app name and whatever description you type.
Deletion and retention
- You can delete your account inside the app (Settings, Delete my account). This permanently removes your login, memberships, preference data, and unlinks your claimed profile.
- Organization owners can permanently delete their entire organization and everything in it, or hand it off to a new leader first.
- Accounts and organizations inactive for 180 days or more may be deleted.
- Email support@jimdoes.it for any deletion request you cannot perform in the app.
Children
Leaders Book is intended for adult military service members and is not directed at children under 13. We do not knowingly collect data from children.
Changes
If this policy changes, the updated version will be posted at this address with a new effective date.
